Measure Definition & Importance |
This measure calculates the % of routine work orders initiated as a result of a department's request to the facility maintenance group that are completed within three days. Routine work orders are initiated when requests are relatively minor in scope, can be accomplished within three days and is not emergency work by nature. Examples of frequent routine work orders include electrical, plumbing, carpentry work and painting jobs not considered to be emergencies. This measure provides supervisors and administrative staff the ability to use start and completion times to track performance targets.
The target is to complete 90% of all routine work orders within seven days. The target is based on previous year's average estimated time. Previous years' average time estimated.

Data is calculated based on information stored and processed in the PM Department’s “Work Order System” database. Departments call Facilities Maintenance to schedule a routine maintenance work order. To initiate and route the work order, the administrative staff enters the work order data in the system. Upon completion of the work order, the Lead Technician provides the Administrative Staff the date the work order was completed. The system calculates the number of days it took to complete the routine work order. At the beginning of each month the Routine Work Order Report is exported from the system to excel spreadsheets that are saved in Z:\Facilities\Facilities Maintenance\Work Order Reports under the name Routine Work orders completed. The totals included in the start and completed sections of the report are used to calculate the % of routine work orders completed within 7 days. The Facilities Superintendent reviews the reports.
