Measure Definition & Importance |
This measure calculates the percentage of building scheduled preventive maintenance completed on time in accordance with the predetermined scheduled frequency. Examples of scheduled preventive maintenance include; inspection and replacement of filters, belt, hoses, bearings, fluids and lubricants. Deferral of preventive and routine maintenance and regular replacement of parts and equipment increases the probability of unexpected breakdowns and/or catastrophic failure making facilities and equipment unsafe, uncomfortable and/or unusable. Such failures may result in the loss of critical building systems which could limit the use of the facility by employees and citizens.

Data is calculated based on information stored and processed in the PM Department’s “Work Order System” database. Based upon input gathered from the lead technicians, the administrative staff enters the data into the work order system to initiate, route and complete preventive maintenance work orders. At the end of each month the PM Tab Report is exported from the system to excel spreadsheets that are saved in Z:\Facilities\Facilities Maintenance\Work Order Reports under the report name PM Completed Month and Year. The totals included in the date completed section of the report are used to calculate the % of Preventative Maintenance work orders completed within it's closeout frequency. The Facilities Superintendent reviews the reports.
