Measure Definition & Importance |
Attendance is counted by event, per day based on the number of guests attending the event. Clients will forecast the amount of attendees; once on property, attendance can be more accurately estimated by the room set-up information; or for ticketed events, the attendance count is obtained via a ticket manifest or "Drop Count". Attendance is counted each day of the event and totaled at the end of the event (i.e. Day 1-5,000, Day 2-3,000, Day 3-7,000 = 15,000 in attendance). Attendance for equestrian and/or livestock events is calculated by the number of horses entered in competition multiplied by four (4) attendees per day. The importance of tracking attendance could determine a number of things - 1. ensure adequate staffing/supplies are available; 2. ensure ample meeting space is provided; and 3. economic impact to the facility and city.
New methodology for FY20 will include attendance for the Fort Worth Stock Show and Rodeo.

The division's Sales team tracks Attendance for each event in the "Statistics" tab for that event in the department's Event Business Management System (Ungerboeck). The statistics are totaled and reported with the variance shown based on the previous year, with an explanation as to why there might be a variance. Event statistics reports are given to the department's two performance liasions to be added to the ClearPoint Data spreadsheet and are entered onto a monthly and quarterly Excel spreadsheet kept in the Sr. Admin. Assistant's Documents Library Statistics folder. The ClearPoint data excel spreadsheet is kept on the ClearPoint data (\\opendata) (U:) and hard copies of the reports are kept in a current FY Quarterly binder.
Based on the target for the Fiscal Year, numbers are broken down quarterly for anticipated attendance.
