Step-By-Step Data Gathering Process:
Data for this KPI comes from our weekly reclassification and waiver reports, which can be accessed by CCC personnel. The report is maintained by the CCC Administrative Assistant and is distributed to CCC team members by e-mail every Tuesday.
If not by e-mail, another way to access weekly reclassification and waiver reports is to use the following steps:
Once the most recent reclassification and waiver report is opened, save it to the CCC division’s KPI folder for later manipulation by following this route: X:\AS141\Class\A CCC Division KPIs\CAR statistics. Here you will save the report under the month and year you are reporting on, which is always one month back. For example, if today were April 5, one would want to report March’s data.
Now that the weekly reclassification and waiver report has been saved in the folder, manipulation can take place for KPI purposes.
To begin, focus should be directed to column L – Completion Date. Delete all of the rows that were not completed in the month you are reporting on. Continuing with the example of wanting to report March’s data, delete all the rows that are pending or completed pre-March / post-March. By the end, your “Completion Date” row should be consistent of only one month. Save the report.
Next, scroll to the bottom of the report. Double check the equations in the green and blue boxes to make sure they’re right. Sometimes with rows being deleted, the equations don’t cover a column top to bottom as they should and rows are left out when they shouldn’t be.
Last, with the equations verified, one can see how many reclassification requests were completed in 60 days or less versus how many took more than 60 days. These are the two numbers needed to report in the data owner spreadsheet.
ClearPoint Data Series Descriptions & Formulas
