Scanned Documents: Ordinances, Resolutions, Contracts, Informal Reports, Meeting Minutes (Council, Corporation Board, Crime Control & Prevention District and Joint Meetings). Laserfiche is a document management system that can be used by internal and external customers and provides electronic images of various documents which are accessed using key words, phrases or numbers. **M&C Indexing is an in-house search engine on the City's Intranet that allows only internal customers to search for applicable documents, again using key words, phrases or numbers. Both systems provide accessibility to all customers interested in actions taken at various meetings and the documents approved at those meetings. As more documents are scanned, the fewer Public Information Requests will be submitted. Research requests from internal customers will be reduced since documents will be available in electronic format on the Public Information Portal (Laserfiche).

**On January 1, 2017, the CSO stopped indexing and uploading documents into the M&C Indexing System. This decision was to preclude indexing documents on two different systems and the M&C Indexing System being strictly for internal City users. Laserfiche is an enterprise wide project that is used by internal and external users and it is planned that the M&C Indexing System will not be used in the near future.

***Four staff members will have a monthly target of 750 documents to scan. Attainability of target is variable dependent on employee's work/support schedule during a particular month.

Document scanning is a benchmarking measurement for each employee. Employees are required to attain a total benchmarking measurement of 3,000 scanned documents per month. Reports are submitted to Assistant City Secretary for compiling into monthly report.  Report is accessible to all CSO employees for review.  Data is maintained to generate information for annual budget submission.
